Annexx Trade Pty Ltd trading as Compass Homes QLD (ABN 12 159 835 980) is committed to providing quality services to you. This policy outlines our ongoing obligations to you in respect of how we manage your Personal Information.

We have adopted the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth) (the Privacy Act). The APPs govern the way in which we collect, use, disclose, store, secure and dispose of your Personal Information.

What is Personal Information and why do we collect it?

Personal Information is information or an opinion that identifies an individual. Examples of Personal Information we collect include names, addresses, email addresses and phone numbers.

This Personal Information is obtained in several ways:

• through the contact form on this website;
• through the site costs calculator, when you choose to send us your estimate;
• through the Module Builder, when you choose to send us your design. This includes the layout you built and a picture of it;
• through the selection guide, when you choose to send us your colour and finish choices. This can include photos or files you attach;
• by telephone, by email and in correspondence; and
• from third parties.

We don't guarantee the website links or policies of authorised third parties.

We collect your Personal Information for the primary purpose of responding to your enquiry and providing our services to you. We may also use your Personal Information for secondary purposes closely related to the primary purpose, in circumstances where you would reasonably expect such use or disclosure.

When we collect Personal Information we will, where appropriate and where possible, explain to you why we are collecting the information and how we plan to use it.

When you send us an enquiry, a member of our team will reply to you, and may email you documents about building with us. We do not send an automatic confirmation email. The links in the emails we send stop working after a while.

Visits to this website

We use Plausible Analytics to understand how many people visit this website and which pages they read. Plausible does not use cookies or browser storage, and it does not build a profile of you or follow you across other websites. It records the page you visited, where you came from (for example a search engine or another website), your browser, operating system and device type, your approximate location (country, region and city), how long you spent on the page and how far you scrolled. It does not store your IP address.

We also count a few actions, such as clicking a phone number, clicking an email address, downloading our inclusions list and sending an enquiry. These counts do not include anything you typed into a form.

This website does not use cookies to track you. The hero video on the home page and the build timelapse video on the process page are hosted and streamed by Mux, which receives your IP address when your browser requests a video.

The selection guide saves your answers in your own browser while you fill it in, so you can come back to it later. If you open the guide from a link we sent you, your browser also remembers the details in that link (your contact details and a reference to your enquiry), so your answers reach the right enquiry when you send them. We do not receive these saved copies. Your answers are removed when you send the guide or choose Clear and start over. The link's details are removed when you send the guide. While you have the guide open from one of our links, its web address also keeps a random reference to your enquiry (not your name or contact details), so your answers reach the right enquiry even if you open the page again in another browser.

When you send a form on this website, your browser keeps a random reference for that send until it is confirmed, or for about a day if it cannot be. It is kept with a short fingerprint of what you entered, so a form you have changed is treated as a new send. We use it so that pressing Send again, or reloading the page after a slow connection, does not record the same enquiry twice. The fingerprint stays in your browser. The random reference is sent to us with your enquiry.

Sensitive information

Sensitive information is defined in the Privacy Act to include information or opinion about such things as an individual's racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record or health information.

Sensitive information will be used by us only:

• for the primary purpose for which it was obtained;
• for a secondary purpose that is directly related to the primary purpose; and
• with your consent, or where required or authorised by law.

Third parties

Where reasonable and practicable to do so, we will collect your Personal Information only from you. However, in some circumstances we may be provided with information by third parties. In such a case we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party.

Service providers and overseas handling

We use a small number of service providers to run this website and handle your enquiry. Most of them are based overseas, so your Personal Information may be handled outside Australia.

• Netlify (United States) hosts this website.
• Our own enquiry system, which we run on a hosted server, stores the forms you send us, including any design picture, photo or file you attach.
• Amazon Web Services (Australia) keeps the pictures, photos and files you attach in private storage that is not open to the public.
• Postmark (United States) sends the emails that go with your enquiry, including the notice to our team and any email we send you.
• Mux (United States) hosts and streams the hero video on the home page and the build timelapse video on the process page.
• Plausible Analytics (European Union) provides the visit statistics described above.

Disclosure of Personal Information

Your Personal Information may be disclosed in a number of circumstances including the following:

• third parties where you consent to the use or disclosure;
• the service providers listed above, to the extent they need it to run this website; and
• where required or authorised by law.

Security of Personal Information

Your Personal Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorised access, modification or disclosure.

When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information. However, most of the Personal Information is or will be stored in client files which will be kept by us for a minimum of 7 years.

Access to your Personal Information

You may access the Personal Information we hold about you and update or correct it, subject to certain exceptions. If you wish to access your Personal Information, please contact us in writing.

Compass Homes QLD will not charge any fee for your access request, but may charge an administrative fee for providing a copy of your Personal Information.

In order to protect your Personal Information we may require identification from you before releasing the requested information.

Maintaining the quality of your Personal Information

It is important to us that your Personal Information is up to date. We will take reasonable steps to make sure that your Personal Information is accurate, complete and up to date. If you find that the information we have is not up to date or is inaccurate, please advise us as soon as practicable so we can update our records and ensure we can continue to provide quality services to you.
